How much does an AI training system cost for a company?

The cost of an AI training system combines a software subscription, billed per active user, per named licence, per user tier or as a flat fee, with project costs: deployment, integration with the HRIS and single sign-on, configuration of skills frameworks, content, administrator training. As of 10 October 2026, the public price lists consulted range from about €3.80 to €26 excluding VAT per user per month; enterprise offers are priced on quotation.

Pillar: Beyond the LMS: understanding and choosing your training tools

What are the cost items?

An AI training system is paid for in two parts: a recurring cost (the subscription) and project costs, one-off or annual. The latter are often underestimated at the selection stage.

Item Nature What to ask the vendor
Platform subscription Recurring Billing unit, commitment period, rules if limits are exceeded
AI features (generation, assistant, analytics) Recurring, sometimes optional Included or billed separately, usage limits
Deployment and set-up One-off Scope, deliverables, duration, fixed price
Integration (HRIS, SSO, existing LMS, business tools) One-off, then maintenance Standard connectors or custom development
Configuration of skills frameworks and learning paths One-off Share done by the vendor, share left to the company
Content One-off or recurring Library included, production or migration cost
Training of administrators, trainers and managers One-off Number of sessions, materials
Support and upgrades Recurring Service level, languages, hours
Internal time Recurring To be estimated by the company (HR, training, IT, subject-matter experts)

What are the pricing models?

Four pricing models are mainly found:

  • Per active user. Only users who log in during the period are billed. iSpring, for example, considers a user active if they have logged in at least once during the month.
  • Per named licence. Each authorised person is billed, whether or not they use the tool. This is, for example, the model of Microsoft 365 Copilot.
  • Per user tier. A fixed price covers a band (for example up to 40, 70 or 100 users), as at TalentLMS.
  • Flat fee or quotation. The price depends on the scope (number of learners, modules activated, integrations, support). This is the rule for enterprise offers.

The per-active-user model favours populations that train irregularly. The per-licence model suits tools used every day.

What public price ranges exist as of 10 October 2026?

The prices below come from vendors' public pricing pages, consulted on 10 October 2026. They cover LMSs and a general-purpose AI assistant, useful as reference points; they include neither deployment nor integration, and may vary depending on the country in which they are displayed.

Offer Category Model Public price displayed
iSpring LMS (Business) LMS Per active user €6.61/user/month for 100 users (€7,936/year); €4.25 for 300; €3.78 for 500
TalentLMS LMS Per tier, annual billing Core up to 40 users: $119/month; Grow up to 70: $229/month; Pro up to 100: $449/month; free plan up to 5 users
Microsoft 365 Copilot General-purpose AI assistant Per licence, annual commitment €26.00 excl. VAT/user/month paid annually (€27.30 excl. VAT paid monthly), plus an eligible Microsoft 365 licence
TalentLMS Enterprise LMS Quotation From 1,000 users
Docebo Learning platform Quotation No price displayed
360Learning (Business, Enterprise) Learning platform Quotation No price displayed, demo request

For AI training platforms that generate learning paths and measure skills, the vendors consulted do not display a public price list for companies: prices are on quotation. A serious order of magnitude can then only come from comparable quotes drawn up for the same scope.

How much do deployment and integration cost?

No reliable public price list exists for these services: they are on quotation. Their cost depends mainly on four factors:

  • the number and type of integrations (HRIS, SSO, existing LMS, business tools);
  • the state of the company's skills frameworks;
  • the volume of content to migrate or produce;
  • the level of support expected (team training, change management).

Some offers include part of these services. TalentLMS states that it charges no setup fees; 360Learning states that tailored implementation is included in all its plans. In each case, check exactly what the commitment covers, ideally in writing.

How do you compare two offers?

Compare a total cost over three years, per active learner:

Total 3-year cost = 3 years of subscriptions + deployment + integrations + configuration + team training + estimated internal time

Then divide by the expected average number of active learners. This neutralises differences between pricing models (active user, licence, tier, flat fee).

Four questions prevent unpleasant surprises:

  1. What happens if the number of users exceeds the tier or the planned volume?
  2. Are AI features included, capped or billed by usage?
  3. Can data (results, learning paths, content) be exported at the end of the contract?
  4. Which services are covered by a fixed price?

To turn this cost into a decision, see How to build a business case for an AI training system. To distinguish the categories of tools, see LMS, LXP, adaptive learning, AI training engine: how to tell them apart.

Frequently asked questions

Why are so many prices on quotation?

Because the cost depends on the scope: number of learners, features activated, integrations and support. In the price lists consulted, public prices cover standard offers; enterprise offers (TalentLMS Enterprise, Docebo, 360Learning Business and Enterprise) are on quotation.

Does an AI training system cost more than an LMS?

At iSpring, the public price list ranges from €3.78 to €6.61 per active user per month for 100 to 500 users. Since AI training systems are priced on quotation, a comparison is only meaningful for the same scope, on total cost rather than on the licence alone.

What does billing per active user mean?

Only users who logged in during the billing period are paid for. At iSpring, a user is active if they have logged in at least once during the month.

Can the cost be funded by an OPCO?

In France, OPCOs (the sector bodies that fund vocational training) finance training actions. Funding of a software subscription is not automatic: check with your OPCO. See Funding workplace training in France.
